1. About this notice
Tarjuman (“Tarjuman”, “we”, “us”, “our”) provides certified translation services, including instant quotes, online checkout, attestation add-ons, and courier delivery, through our website and related applications (together, the “Platform”).
This Privacy Policy explains how we collect, use, share, and protect personal data when you visit the Platform, create an account, upload documents, request a quote, place an order, contact us, or otherwise interact with our services. It is issued in accordance with Federal Decree-Law No. 45 of 2021 regarding the Protection of Personal Data (the “UAE PDPL”) and its implementing regulations.

2. Who we are and how to contact us
For the purposes of the UAE PDPL, Tarjuman is the data controller for the personal data described in this notice. We operate the Platform for individuals, companies, and institutions in the United Arab Emirates who need certified translations for official use.

Privacy requests (access, correction, deletion, or a complaint about how we handle personal data) should be sent to support@tarjuman.ae with enough information for us to verify your identity and locate your request.
3. Scope of this notice
This notice applies to personal data we process about:
- Website visitors and people who request an instant quote without creating an account
- Individual customers who register, upload documents, check out, or track orders
- Enterprise users, including authorised employees who manage a company account or plan
- People named in documents you upload (for example, a passport holder, student, employee, or company signatory), where that information is needed to perform the translation
- People who contact us by email, WhatsApp, the contact form, or other channels
This notice does not apply to third-party websites linked from the Platform, payment providers acting as independent controllers for card processing, government authorities that receive a certified translation you submit, or other controllers who process data under their own privacy notices.
4. The personal data we collect
We collect personal data that is necessary to quote, translate, certify, deliver, invoice, and support your order, and to operate the Platform securely. The specific data we collect depends on the services you use.
4.1 Account and contact data
- Full name, email address, and phone number
- Password (stored in hashed form) and login session data
- Language preference and account type (individual or enterprise)
- Company name, trade licence number, TRN, company address, and company website, where you provide them for enterprise or tax-invoice purposes
4.2 Document and translation data
When you upload files for a quote or order, we process the file and the personal data it contains. This may include:
- Passports, Emirates ID, visas, residence permits, and other identity documents
- Legal contracts, powers of attorney, court papers, and corporate records
- Academic certificates, transcripts, and professional licences
- Names, dates, stamps, seals, signatures, and other content needed for a certified translation
- Source and target languages, document type, and the authority you intend to submit to
- Page and word counts generated when we read the file to price the order
4.3 Quote, order, and delivery data
- Quote details, service type, add-ons (such as attestation or courier), and AED totals including VAT
- Order status, notes you add at checkout, and communications about the file
- Delivery address, where courier is selected
- Plan quota usage for enterprise accounts
4.4 Payment data
- Payment method and transaction status through our payment provider (Stripe)
- Billing name, email, and tax-invoice details you submit
- We do not store full card numbers, CVV, or other full primary account data on Tarjuman systems
4.5 Device and usage data
When you visit the Platform we may automatically collect:
- IP address, approximate location derived from IP, and time-zone settings
- Device, browser, and operating-system information
- Pages viewed, links clicked, referral URLs, and diagnostic logs needed to keep the Platform secure and working
- Cookies and similar technologies, as described in Section 12
4.6 Communications
- Emails, WhatsApp messages, contact-form submissions, and support correspondence
- Feedback, complaints, and other messages you send us
5. Sensitive personal data
Under the UAE PDPL, certain categories of data are treated as sensitive personal data, including data revealing biometric characteristics, health, ethnic or racial origin, religious beliefs, or criminal record. Identity documents and many legal files you upload for translation can contain sensitive personal data.
We process this data only where it is necessary to provide the translation, certification, attestation, or delivery service you request, to perform our contract with you, to establish or defend legal claims, to comply with law, or where you have given explicit consent. Sensitive data is subject to additional access controls and is shared only with parties that need it to complete the service (for example, a certified translator assigned to the order, or an attestation partner you selected).
6. Sources of the personal data we hold
We obtain personal data from:
- You, when you create an account, upload a document, request a quote, check out, or contact us
- Your organisation, if an enterprise administrator invites you or places orders on the company’s behalf
- Payment, hosting, analytics, and communications providers acting on our instructions
- Public sources only where needed to operate the Platform securely or meet a legal obligation
If you upload a document that contains someone else’s personal data, you must have the right to provide it to us for translation. You are responsible for informing that person, where required, that Tarjuman will process their data to complete the order.
7. Why we use your personal data and our legal basis
We process personal data only where we have a lawful basis under the UAE PDPL. The table below summarises our main purposes.

9. International transfers
Some providers or linguists may be located outside the UAE. Under the UAE PDPL, we transfer personal data outside the UAE only where an adequacy decision, an appropriate contractual safeguard, a necessity recognised by the PDPL (including performance of your contract), a legal obligation, or your explicit consent applies.

10. Payment-card data
Card payments are handled by our payment-services provider, which is PCI DSS compliant. We do not store the full primary account number, CVV, or full card data on Tarjuman systems. We may store a payment token or transaction reference so we can confirm payment, issue refunds, and keep accounting records.
11. How long we keep your personal data
We keep personal data only for as long as we need it for the purposes in this notice, or as long as law requires. Retention depends on whether an account or order is still active, UAE tax and accounting rules, limitation periods for legal claims, complaint handling, and security needs such as fraud prevention.
Source files and translations are kept for as long as needed to complete the order, provide certified copies you may still request, meet accounting obligations, and resolve disputes. After the applicable period, we delete or anonymise the data so it can no longer be associated with you. Anonymised or aggregated statistics may be kept for service improvement.
13. Children’s data
The Platform is intended for adults aged 18 or over. We do not knowingly market to children or collect personal data directly from minors. We may process a minor’s data where it appears in a document you upload (for example, a birth certificate or a child’s passport) because you asked us to translate it. In that case you confirm you are the parent, guardian, or otherwise authorised to provide that data.
If you believe a minor has created an account or uploaded files directly, contact support@tarjuman.ae so we can delete the data where the law allows.
14. Security of your personal data
We apply technical and organisational measures designed to protect personal data against unauthorised access, alteration, disclosure, loss, or destruction. These include encryption in transit, access controls, logging, vendor due diligence, and employee confidentiality obligations. Identity and legal files are treated as confidential throughout quoting, translation, and delivery.
No online system is completely secure. If we become aware of a personal-data breach that is likely to result in a risk to your rights and freedoms, we will notify the UAE Data Office and affected individuals as required by law. Please use a strong unique password, do not share your login, and tell us promptly if you suspect unauthorised access.
15. Your rights under the UAE PDPL
Subject to the conditions and limits in the UAE PDPL, you may have the right to:
- Be informed about how we process your personal data (this notice is the main way we do that)
- Access a copy of the personal data we hold about you
- Ask us to correct inaccurate or incomplete personal data
- Ask us to delete personal data where we no longer have a lawful basis to keep it (this may be limited by tax, accounting, or dispute-retention rules)
- Ask us to restrict processing in specified circumstances
- Receive certain data you provided in a structured, commonly used, machine-readable format, where technically feasible
- Object to processing based on legitimate interests, and withdraw consent where we rely on consent, without affecting prior lawful processing
- Lodge a complaint with the UAE Data Office
To exercise these rights, email support@tarjuman.ae. We may need to verify your identity before responding. We will reply within the period required by the UAE PDPL. There is normally no fee, but we may charge a reasonable fee or refuse a request that is manifestly unfounded or excessive, as the law allows.
16. Complaints
Please contact support@tarjuman.ae first so we can try to resolve your concern. If you are not satisfied, you may lodge a complaint with the UAE Data Office, the federal data-protection regulator.
17. Changes to this notice
We may update this notice to reflect changes in our services, the law, or regulatory guidance. When we make material changes, we will post the updated notice on the Platform, update the “Last updated” date, and notify you where appropriate. Please review this notice from time to time.
18. Governing law
This Privacy Policy and any matter arising from it is governed by the laws of the United Arab Emirates, including the UAE PDPL and its implementing regulations.
